Import a Spreadsheet

Last updated

If you already track your Products somewhere else, in a spreadsheet or another app, you don’t have to type them in again. Upload the file, tell Tuskl which column is which, and check what it found. Nothing is added to your Account until you confirm, and then the whole import goes in at once or not at all.

What You Need

  • A CSV, TSV or XLSX file. Excel, Google Sheets and Numbers can all save one.
  • One row of column headings, then one row per item.
  • Up to 10 MB and 5,000 rows a file, and up to 5 files at a time.

Good to know: a workbook with several sheets is fine. Each sheet is matched on its own, and you can skip any you don’t need.

Import Your File

  1. Go to Settings → Import Data and click Import a Spreadsheet.
  2. Choose your file (or several) and click Upload. Tuskl reads it in a few seconds and shows What Tuskl Read: the rows and columns it found in each file. Click Continue.
  3. On Match Your Columns, choose What Is This? for each sheet: Product List, Contact List, Expense List or Don’t Import This Sheet.
  4. For each of your columns, pick the Tuskl field it holds. Where a heading is clear, Tuskl picks the field for you and marks it Suggested. A column left on Don’t Import is ignored. The Preview shows your first 10 rows exactly as Tuskl will read them, and your choices save as you go.
  5. Click Continue. Tuskl reads every row and tells you how many are ready. It lists any rows it couldn’t read, with the reason, so you can fix them in your file.
  6. Tuskl won’t guess when your file leaves something open, so Decisions for Your Import asks about it. That covers an item with two outcomes, a Product with two Fees, which Workflow to use, and whether a Contact’s default Fee should fill a blank one. Each question already has Tuskl’s best guess selected, so if they look right, click Accept All Defaults and Continue.
  7. Review Your Import shows what will be added: new Products, Contacts, Creators and Expenses, which Contacts match ones you already have, and the totals for your Fees, sales and Expenses.
  8. Click Import, check the counts in the dialog, and click Import again. Switch on Email Me When It Finishes if you’d rather not wait.

The page tells you roughly how long the import will take. A small file finishes in under a minute. You can leave and come back.

What a Product List Brings In

A Product List row is a Product and everything around it. Only Title is required. It can also carry the ASIN, URL, Price, Date Received, the Contact it came from, the Creator, the Fee and whether it was paid, its Status, Notes, and what happened to the item (sold, donated, gifted, junked, kept or paid in kind) with the date and amount. Use a Contact List or Expense List sheet for Contacts or Expenses on their own.

How Tuskl reads what you wrote:

  • Dates: 2026-06-11, or month first: 6/11/2026 is June 11. Dates with the month written out, like Jun 11, 2026, work too.
  • Money: $45, 45.00 and 1,250.00 all work.
  • Yes or no: yes, no, x, ✓, paid or unpaid.
  • Status: words like Done, In Progress or Not Received.
  • How a Product was acquired: Free Sample, Reimbursed or Self Purchased.
  • Due Dates aren’t imported. Tuskl works them out from each Contact’s Turnaround, so they stay right.

When It’s Finished

The import’s page has two tabs:

  • Summary shows what came in, what Tuskl decided for you where your file didn’t say, and anything that couldn’t come across. Each line links to the records it’s about.
  • Needs Attention lists anything still waiting on you, like an item whose outcome you left to decide later.

View Every Row shows each row of your file beside what it became. Every import stays listed under Settings → Import Data.

What Can’t Come Across

  • Files. Receipts don’t import. You can attach a donation’s receipt on the item afterwards.
  • Companies. Contacts come in without one, so group them into Companies afterwards.
  • Items listed for sale but not sold. An asking price on its own goes into the Product’s Notes.

The Summary names every column and sheet that wasn’t imported. They’re still in your file.

Importing Again

You can import a newer copy of the same file. Tuskl brings in only the rows that weren’t in an earlier import. Anything already imported isn’t added again or changed, so make those edits in Tuskl.

This only works when your file has an ID column. Without one, Tuskl can’t tell which rows it has already seen, and importing the file twice adds them twice. Review Your Import warns you when that will happen.

Good to know: an import can’t be undone as a whole. To remove something it added, delete it in Tuskl, the same as anything you added by hand. Deleting an import’s record (possible a week after it finishes) doesn’t delete what it added, but Tuskl then can’t recognise those rows if you import the file again.

Coming From Another App

Most apps can export a CSV: look for Export or Download as CSV. If you’re moving from an app Tuskl recognises, Switching From Another App? on the upload page tells you exactly which files to export. Upload them together and Tuskl matches the columns for you.

Good to know: export everything before you cancel your old app’s subscription. You may not be able to download it afterwards.

Not in a Spreadsheet Yet?

If your records are in notes, a Notion or Airtable table, or a chat with an AI assistant, you can still bring them in:

  • Export what you can. Notion, Airtable and Google Sheets can all download a table as a CSV.
  • Fill in the template. On the upload page, click Download a CSV Template. It has Tuskl’s column headings and no rows. Add one row per Product, save it as a CSV and upload it. Its headings match Tuskl’s fields, so the columns match themselves.
  • Ask an AI assistant to fill it in. Give it the template and your notes, and ask for one row per Product. Check what it wrote before you upload. The Preview shows how Tuskl reads each value.
